Privacy Policy

How PlusPetanque Platform collects, uses, and protects your personal information across our services.

Last updated: October 2026

Your Privacy Matters: We are committed to protecting your personal information and being transparent about how we collect, use, and share data on the PlusPetanque Platform. This policy outlines your rights and our responsibilities.

1. Information We Collect

Personal Information

When you create an account or participate in tournaments, we may collect:

  • Name and contact information (email, phone number)
  • Location and timezone preferences
  • Skill level and tournament history
  • Profile information and preferences
  • Payment information for premium features

Automatically Collected Information

  • Usage statistics and platform interactions
  • Device information and browser type
  • IP address and general location
  • Cookies and similar tracking technologies

Organization API Keys, Widgets and Webhooks

When an organization connects its own website or systems to the platform, we store:

  • API keys: the key name, a hashed form of the key (the key itself is never stored) and its creation and last-used timestamps
  • Website widgets: the widget name, type, the tournament it shows and the list of websites allowed to embed it
  • Webhooks: the endpoint address, the subscribed events, the signing secret (encrypted at rest) and, for each delivery, the event, the data sent, the response status and error text for a limited time, used to show the organization its delivery history and to retry failed deliveries
  • Request logs with the key or widget identifier and IP address, used for rate limiting and abuse prevention

2. How We Use Your Information

Platform Services

  • Creating and managing your user account
  • Facilitating tournament registration and participation
  • Providing real-time updates and notifications
  • Generating statistics and performance analytics

Communication

  • Sending tournament invitations and updates
  • Providing customer support and assistance
  • Sharing platform news and feature updates
  • Responding to your inquiries and feedback

3. Information Sharing

We DO NOT Sell Your Data

We never sell, rent, or trade your personal information to third parties for marketing purposes.

We may share information in these limited circumstances:

  • • Tournament Organizers: Basic profile information for tournament management
  • • Organizer Websites (API): Organizations can retrieve data about their own tournaments through our API, including registered team and player names, match results and standings, to display on their own websites. This is the same information shown on the public tournament page; anonymized players stay anonymized, and the organization is responsible for how it displays the data
  • • Organizer Websites (Widgets): Organizations can embed widgets on their own websites that show their tournaments, matches, standings, results and brackets. The widget is a page served by PlusPetanque inside a frame: it shows the same information as the public tournament page, sets no cookies and loads no analytics on the embedding site, and can only be displayed on the websites the organization has allowed. If you register a team through a widget, your details are sent directly to PlusPetanque, not to the embedding website, and are handled under this policy
  • • Organizer Systems (Webhooks): When an organization registers a webhook, we send notifications about its tournaments (for example a new registration, a completed match, published results or a status change) to the web address it provided. These notifications contain tournament, team, registration and match information such as team names, statuses and scores, but no email addresses, phone numbers or other contact details; anonymized players stay anonymized. The organization is responsible for the endpoint receiving this data
  • • Service Providers: Trusted partners who help us operate the platform
  • • Legal Requirements: When required by law or to protect our rights
  • • With Your Consent: Any other sharing requires your explicit permission

4. Data Security

We implement industry-standard security measures to protect your information:

  • • Encryption of sensitive data in transit and at rest
  • • Regular security audits and vulnerability assessments
  • • Restricted access to personal information
  • • Secure hosting infrastructure with backup systems

5. Your Rights and Choices

Access & Correction

View and update your personal information through your account settings.

Data Deletion

Request deletion of your account and associated data at any time.

Communication Preferences

Control what notifications and communications you receive from us.

Data Portability

Export your tournament history and statistics in standard formats.

6. Children's Data and Guardian Consent

Players below the age of digital consent of their country of residence can use PlusPetanque only with the approval of a parent or legal guardian. This section explains what we process about such a child and their guardian, and what is visible to whom. The guardian can withdraw consent at any time from their dashboard.

To run the approval and keep evidence of it, we store:

  • The child's birth date and country of residence, used to decide whether approval is needed and at what age it ends.
  • The guardian's email address and, once approved, the link to the guardian's account.
  • The consent record: date and time, IP address, browser, the version of the consent text shown, the method of approval and the guardian's two confirmations (being an adult, being the parent or legal guardian). It is written once and never changed.
  • Every change the guardian makes to the child's privacy settings, with who made it, when and from which IP address.
  • The guardian's approval or refusal of team invitations addressed to the child.

A child's account is private by default. Until the guardian switches an item on:

  • Public results, brackets, rankings, live scores, website widgets and the organizer API show only the child's initials.
  • No profile photo can be uploaded and an initials avatar is shown instead.
  • There is no public profile page and no public bio.
  • The child is not listed in the team finder and cannot be contacted through it. Applying to listings still works.

Organizers of the tournaments the child enters, and that tournament's co-administrators and referees, always see the full name, because they need it to run the event.

A child's account never holds a phone number, never receives marketing and is never used for advertising profiling. When the guardian link ends on the child's birthday, the settings stay as they were. Nothing becomes public on its own.

The consent record and the history of guardian links are kept for as long as the account exists, as evidence that the approval was given. When the account is deleted, they are kept in the encrypted archive of the deletion process and destroyed with the rest of the account data. If consent is withdrawn and not given again within 30 days, the account is removed.

The guardian can download the child's data and the consent record from their dashboard, change the privacy settings, correct the child's details, transfer the guardian role to another adult and delete the account. The child manages their own language, notification settings, password and email address. A change of the child's email address is reported to the guardian.

If you believe an account belongs to a child, or you received an approval email about a child who is not yours, tell us through the link in that email or through the contact form. We handle every such report within 7 days, apply the protective settings where the report is confirmed, and never disclose account details to the person who reported. No data is deleted on the basis of a report alone.

A child profile kept under a guardian's account has no email address and no password. The profile holds the child's name, birth date, gender and country, and is shown in public results with initials only. If the guardian removes the profile, the match records are kept anonymously.

7. Cookies and Tracking

We use cookies and similar technologies to:

  • • Remember your login status and preferences
  • • Improve platform performance and user experience
  • • Analyze usage patterns and popular features
  • • Provide relevant content and recommendations

Note: You can control cookie settings through your browser preferences, though some features may not work properly if cookies are disabled. For more details, see our Cookie Policy.

8. International Data Transfers

Our platform may transfer and process your information in countries other than your residence. We ensure appropriate safeguards are in place to protect your information in accordance with this privacy policy.

9. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of significant changes via email or platform notification. Your continued use of the platform after changes become effective constitutes acceptance of the updated policy.

10. Support Assistant

Signed-in users can ask the built-in support assistant questions about using PlusPetanque. When you use it, the text you type, the earlier messages of the same conversation and a short description of your account type (for example player, referee, organizer or club) are sent to Anthropic, PBC, our AI provider, to generate the answer. The assistant only receives content you write to it and, where the feature is enabled, read-only facts about your own registrations, teams and tournaments. It never receives other users' personal data, and it cannot change anything on your account.

  • Conversations are stored for up to 90 days so we can review answer quality and improve the assistant, then deleted automatically.
  • You can rate an answer; ratings and optional comments are stored with the conversation.
  • Deleting your account deletes your conversations.
  • Anthropic processes this data on our behalf under its commercial data processing terms and does not use it to train its models.

Using the assistant is optional; the contact form remains available for every question.
